Job Description

Executive Director

Cass Lake Area Food Shelf

10-20 hours weekly; flexible hours

Salary: To be determined

 

Position Summary

 

The Executive Director (ED) is responsible for the overall management and operation of the

food shelf, ensuring that it effectively serves the community's needs. The ED reports to the

Board of Directors and works closely with staff, volunteers, and community partners.

 

Key Responsibilities:

 

1. **Leadership and Management:

 

- Provide visionary leadership to the organization.

- Oversee daily operations, ensuring efficient and effective service delivery.

- Supervise and support staff and volunteers, fostering a positive and collaborative work

environment.

 

2. Program Development and Implementation:

 

- Develop and implement programs that align with the organization's mission and goals.

- Ensure the food shelf is stocked with adequate supplies and that food distribution is

managed effectively.

- Monitor and evaluate program effectiveness, making adjustments as needed.

- Promote Fund Raising Events

 

3. Financial Management:

  • Develop and manage the annual budget in collaboration with the Board of Directors.

  • Oversee fundraising efforts, including grant writing, donor relations, and community events.

  • Ensure financial stability and accountability through sound financial practices.

 

4. Community Engagement:

  • Serve as the primary spokesperson for the organization, representing it to the community, and other stakeholders.

  • Build and maintain strong relationships with community partners, donors, and volunteers.

  • Advocate for the needs of the food shelf and its clients within the community.

  • Media – Any communication related to the press must be approved by the Board of Directors before being published.


5. Board Relations:
 

    - Work closely with the Board of Directors to develop and implement strategic plans.

    - Provide regular updates to the Board on organizational performance and key issues.

    - Support the Board in its governance and fundraising roles.

6. Qualifications:
 

- Associate’s degree in a related field (e.g., Nonprofit Management, Social Work, Business Administration).

- Minimum of 3-5 years of experience in a leadership role within a nonprofit organization.

- Strong organizational, financial management, and fundraising skills.

- Excellent communication and interpersonal skills.

- Passion for the mission of the food shelf and a commitment to serving the community.

- Experienced in working with diverse cultures.

- Associate’s degree in a related field (e.g., Nonprofit Management, Social Work, Business Administr

CLAFS BOARD MEETING 

CLAFS Board Meeting, 18 Sep 25

 

Meeting Summary

 

The main topic was the election of Joyce as the new treasurer, taking over from Mandie. The team shared some financial updates, discussing the tough economic situation we’re facing and recent grants we’ve applied for. They also reviewed some recent activities, including events to thank our volunteers and important building maintenance, showcasing our teamwork. Before wrapping up, the board planned upcoming community events and fundraising activities, like Give to the Max Day. Joyce will officially take over as treasurer starting November 1st.

Update on financial Challenges

 

Mandie gave an update to the board about the financial difficulties the organization is facing. She highlighted a loss of $26,000 and mentioned that the checking account balance is quite low. Despite these challenges, she assured everyone that all tax paperwork is current. Tyrone thanked Mandie for her help in fixing earlier financial problems and praised her important work for the organization. Joyce suggested that they consider putting some money into certificates of deposit (CDs) to earn interest. She also asked for a clear list of grants they have applied for, including the amounts and deadlines. The meeting ended with everyone expressing their gratitude for Mandie's ongoing help and recognizing Joyce's hard work, particularly in maintaining the garden.

Building Updates and Food Costs

​

The team got together to talk about some recent updates. One highlight was a special event where Linda received a donated television as a token of appreciation. Ann asked about plans to renovate the current facility, but Nita explained that there aren't any major changes expected. She also mentioned that Second Harvest will be visiting soon. Nita pointed out the challenges of rising food prices, noting that the team has done an amazing job adapting to these changes. The costs for healthy food options have gone up significantly, almost doubling the food budget.

Grant Application and Equipment Updates

The team had a conversation about the challenges they face when applying for grants, particularly mentioning the need for a specific number called a System for Award Management (SAM) number that is necessary for federal grants. Joyce offered her help to guide them through the process of getting this number, recommending that they gather essential documents like their tax ID number and bank information. Mandie agreed and said she would send the necessary documents to Joyce to help with the application.

 

In addition, Nita shared some news about the maintenance of their large freezer. She mentioned that they expect to receive the parts needed for repairs by Monday, with installation planned for Tuesday. Nita also noted that the support from volunteers has been steady, even though the number of participants has varied a bit.

Community Events and Fundraising Planning

​

 

The team came together to discuss planning community events, especially those for Halloween. Nita showed a strong interest in organizing a Trunk or Treat event, even though donations are currently low. The group talked about different ways to raise money, such as asking local businesses and churches for support. Joyce suggested that we could also gather food donations for the event.

 

 

Beth shared some exciting news about our recent successful projects, like handing out school supplies and a fundraising day called Give to the Max, which brought in several hundred dollars. These funds were shared among three organizations, including Nita's Food Shelf. The team acknowledged that we need to plan better for next year's events and fundraising efforts, which will be an important topic at our next meeting. Focusing on planning will help us stay on track and motivated to reach our goals.

Board Elects New Treasurer

​

 

The board has chosen Joyce Rairdon as the new Treasurer, starting on November 1st, to ensure a smooth handover from the current Treasurer, Mandie. During the meeting, the group talked about upcoming events, including Give to the Max Day, which will be on November 20th. Tyrone has volunteered to take care of the registration for this event. Nita also brought up that she will organize a site visit, keeping the board updated on the details. As the meeting wrapped up, Joyce made a motion to end the meeting, which everyone agreed to.
